What virtual mailbox software does

A virtual mailbox is a private mailbox (PMB) at your street address that the customer manages from a screen instead of a visit. Mail arrives at your counter exactly as it always has. The software handles everything after that: it tells the customer what came in, takes their instruction, and records what your staff did with the piece.

For the operator, that turns a box rental into a service with recurring revenue and a much wider catchment. A customer three states away can rent a box from you if the remote experience works. A walk-in customer gets the same record, the same billing, and the same Form 1583 file.

Software you run or a marketplace you join

There are two ways to offer virtual mailboxes. You can join a consumer network that lists your address on its site, signs up customers under its brand, and pays you a per-mailbox amount. Or you can run software under your own brand, set your own prices, and bill customers yourself.

Networks are good at filling boxes. The trade-off is structural rather than a matter of quality: the customer account, the pricing, the app, and often the compliance workflow belong to the network, and the customer sees your store as the pickup location. Software keeps all of that with you, and the work of finding customers stays yours too.

What to look for in virtual mailbox software

Almost every product in this category can photograph an envelope and send an email. Judge them on the seven things below, because those are where the operator's money and USPS obligations sit.

  • Form 1583 with online notarization. The customer should be able to complete and notarize the form from home, and you should be able to review and approve it without paper.
  • Scanning with page pricing. Scan requests run from one page to forty. Look for per-request pricing with included pages and a per-page overage, plus monthly sheet allowances on plans.
  • Forwarding with your handling fee on top of postage, and a record of the carrier and tracking number on the mail piece.
  • Billing that lands in your own account. If the platform is the merchant of record, your revenue arrives as a monthly deposit net of fees. If cards are charged into your own Stripe account, the money is yours when it clears.
  • A customer portal on your own domain, with notifications that go out under your store's name rather than the software vendor's.
  • Compatibility with your counter software. If you run PostalMate or ShipRite, the mailbox system should take arrivals from the counter without changing how you ship.
  • Records for USPS: two IDs per addressee, expiration tracking, termination dates, a CRD-ready ledger, and quarterly certification support.

    You set plan prices, action fees, storage fees, and optional prepaid credits. Cards are charged through Stripe Connect and the money goes into your account. Failed payments go through dunning automatically.

What it costs

Innbocks charges a flat platform fee per active customer. There is no revenue share, no percentage of collected payments, and no separate per-box fee on top. Customer payments go into your own Stripe account, so plan revenue is yours from the first invoice.

Because you set the prices, your margin depends on your plans. Independent stores typically charge $15 to $50 per month per box, include a set number of scan pages and then charge $0.25 to $1 per page, and add a $3 to $10 handling fee to postage on forwards. Those are typical ranges seen across independent stores, not Innbocks recommendations.
